MemoriesIQ ("we", "us") is operated by NATIVE MINDS AI LABS, WA, USA. This policy explains what the MemoriesIQ mobile application collects, why, where it is stored, and how to get rid of it.
MemoriesIQ exists to store some of the most personal information a person has — recordings of their own life. The short version: your recordings are yours, we do not sell them, we do not advertise against them, no member of our staff can read your transcripts through any support tool we operate, and deleting them deletes them.
1. What we collect
Content you create
- Voice recordings. The audio you record in the app.
- Transcripts. A text transcription of each recording, kept in the language and script you spoke.
- Automatically generated descriptions. A short title, a summary, topic tags, and any people or places mentioned, derived from your transcript so that memories can be searched and resurfaced.
- Search index data. A numerical representation of your transcript ("embeddings") that lets the app find memories by meaning rather than by exact wording.
- The date each memory belongs to, which you may set to a past date.
Account information
- An anonymous account identifier, created automatically on first launch so you can use the app without signing up.
- Your email address — only if you choose to add one. We use it solely to verify that the address is yours and to let you recover your memories on a new device. We do not send marketing to it.
- A preferred name, if you provide one.
- Your in-app settings and language preference.
Device and diagnostic information
- An installation identifier — a random value generated on your device when the app is first installed. It is not your device's hardware identifier, we do not read any advertising identifier, and it is regenerated if you reinstall the app.
- Your platform (for example Android) and the app version you are running.
- Problem reports. If you report a problem, we receive the message you write plus, if you attach them, recent technical error details from the app. These are read by a human in order to fix the problem.
We do not collect your location, your contacts, your photos, or your device's advertising ID, and we do not embed third-party advertising or analytics trackers in the app.
2. Why we use it
- To store your recordings and make them playable back to you.
- To transcribe and index them so you can search and ask questions about your own past.
- To resurface past memories on their anniversaries, if you leave that feature enabled.
- To let you recover your memories after changing or losing a device.
- To keep the service running, diagnose faults, and prevent abuse.
We do not use your recordings, transcripts, or the descriptions generated from them to advertise to you, and we do not sell or rent them to anybody.
3. Automated processing
Transcription, summarisation, and answering your questions are performed by Google's Gemini models running under Google Cloud's Vertex AI service. Your content is sent to that service in order to produce your transcript and your answers.
Under Google Cloud's terms, customer content submitted to Vertex AI is not used to train Google's foundation models. We do not use your content to train any model of our own.
Automatically generated titles, summaries and tags are produced by a language model and may occasionally be inaccurate. They are conveniences layered on top of your recording; your original audio and transcript remain the record of what you actually said.
4. Where your data is stored
MemoriesIQ runs on Google Cloud Platform, and your data is stored and processed in the United
States (region us-central1). If you use the app from outside the United States,
your information is transferred there.
- Audio files are held in Google Cloud Storage, encrypted at rest using an encryption key managed specifically for this service, in a bucket configured to refuse public access.
- Transcripts, descriptions, search index data, and settings are held in Google Cloud Firestore, scoped to your account identifier. Access rules deny any client from reading another account's data.
5. Who else is involved
We use a small number of processors, and only for the purposes listed:
- Google Cloud Platform and Firebase — hosting, storage, database, sign-in, and AI processing.
- Microsoft Azure Communication Services — sending the one-time code that verifies your email address. It receives your email address and the code, and nothing else.
We may disclose information if we are legally required to. We do not otherwise share your memories with anyone.
6. How long we keep it
- Your recordings and transcripts are kept until you delete them or delete your account.
- Deleting a single memory removes its transcript, its search index entry, and its underlying audio file.
- Deleting your account removes your recordings, transcripts, search index data, generated descriptions, settings, problem reports, and every audio file stored for you.
Deletion is not reversible and we cannot recover deleted memories for you. Routine encrypted infrastructure backups may retain data for a short period before ageing out.
7. Your rights
You can view all of your memories in the app, play back your own audio, correct or remove individual memories, and delete your entire account from the app's settings at any time without contacting us.
Depending on where you live you may also have rights to access, correct, export, or restrict processing of your personal data, and to complain to a data protection authority. To exercise any of these, write to info@nativemindsai.com.
8. Security
Traffic between the app and our servers is encrypted in transit. Audio is encrypted at rest. Every request to our API must carry a valid authentication token, and every stored record is scoped to the account that created it. No system is perfectly secure, but we do not operate an internal tool that displays your transcripts, summaries, or audio to our staff.
9. Children
MemoriesIQ is not directed at children under 13 (or the equivalent minimum age where you live), and we do not knowingly collect their personal information. If you believe a child has provided us information, contact info@nativemindsai.com and we will delete it.
10. Changes
If we change this policy we will update the date at the top, and we will notify you in the app before any materially different use of information you have already given us takes effect.
